Who We Are

JSM Diagnostics Ltd is a fully mobile vehicle technician based in Medway, Kent, providing diagnostics, servicing, repairs, timing belt and chain replacement, and ECU remapping to customers across South East England.

We are the data controller for the personal information collected through this website and in the course of delivering our services. If you have any questions about how we handle your data, the contact details at the bottom of this page are the right place to start.

Information We Collect

We only collect information that is necessary to respond to your enquiry or carry out the work you ask us to do.

Information you give us directly

When you use our contact form or the quick-message widget on this site, we collect your name, phone number, email address, vehicle registration, postcode, and any message you choose to send. None of these fields are mandatory beyond what is needed to reply to you.

When we carry out work on your vehicle, we may record additional details including the vehicle make, model, year, mileage, fault codes, and a description of the symptoms or work requested. This forms the job record.

Information collected automatically

Our web server collects standard technical data when you visit this site: your IP address, browser type and version, the pages you visit, and the date and time of your visit. This data is held in server access logs and is not used for marketing.

The vehicle search tool on this site does not require you to log in or submit any personal information. Any data exchanged with the vehicle lookup API is limited to vehicle specifications and does not include your identity.

How We Use Your Information

We use the information we collect to:

  • Respond to your enquiry and arrange appointments
  • Carry out the diagnostic, repair or remapping work you have asked for
  • Contact you about your vehicle or a booking by phone, email or text
  • Maintain a record of work carried out, including parts fitted and faults diagnosed
  • Comply with legal obligations such as accounting records
  • Improve the website and ensure it functions correctly

We do not use your information for automated decision-making or profiling, and we do not send unsolicited marketing communications.

Legal Basis for Processing

Under UK GDPR, we rely on the following lawful bases for processing your personal data:

  • Contract performance: processing is necessary to provide the service you have requested, or to take steps before entering into an agreement with you.
  • Legitimate interests: to respond to enquiries, maintain job records, and monitor the security and performance of this website, where these interests are not overridden by your own rights.
  • Legal obligation: where we are required to retain records to comply with tax or other statutory obligations.
  • Consent: where you have actively chosen to submit an enquiry or message through this site.

Sharing Your Information

We do not sell, rent or trade your personal information. We may share it in limited circumstances:

  • Hosting and email providers: our website and email are operated by third-party hosting services that process data on our behalf under appropriate agreements.
  • Parts suppliers or specialist subcontractors: on occasion a job may require a part to be ordered or a specialist to be involved. We share only what is necessary (typically a vehicle registration or contact number) and will let you know if this applies.
  • Legal authorities: where we are required to disclose information by law, court order, or to protect the safety of others.

We do not transfer your personal data outside the United Kingdom except where our hosting providers operate infrastructure within the UK or the European Economic Area under adequacy arrangements.

Data Security

We take reasonable steps to protect your personal information from unauthorised access, loss or misuse. Our website uses HTTPS throughout, and access to any stored enquiry data is restricted to JSM Diagnostics personnel.

While we do our best to protect your data, no transmission over the internet is entirely secure. If you believe your information has been compromised, please contact us immediately using the details below.

How Long We Keep Your Data

We retain personal data only for as long as it is needed for the purpose it was collected, or as required by law.

  • Enquiries that do not result in a booking are typically deleted within six months.
  • Job records, including vehicle and contact details, are kept for up to six years in line with HMRC requirements for accounting records.
  • Server access logs are retained for a short period for security purposes only.

Your Rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Rectify any inaccurate or incomplete information
  • Erase your data where there is no longer a lawful reason to retain it
  • Restrict how we process your data in certain circumstances
  • Object to processing based on legitimate interests
  • Portability: receive a copy of your data in a structured, machine-readable format

To exercise any of these rights, contact us using the details below. We will respond within one month at no charge.

Cookies

This website uses only cookies that are strictly necessary for it to function:

  • Session cookie: a temporary cookie used to cache vehicle lookup results during your visit, so pages load quickly when you navigate back. It contains no personal information and is deleted when you close your browser.

We do not use advertising cookies, tracking pixels or third-party analytics. No cookie consent banner is required because the cookies we set are essential to the operation of the site.

Changes to This Policy

We may update this policy from time to time to reflect changes in our practices or in applicable law. The date at the top of this page will always show when it was last revised.
